BancMate uses natural behavior of WINDOWS and has been developed on POWER BUILDER using the CLIENT/SERVER technology and uses Open Data Base Compliance or ODBC technology which gives it freedom to be connected to any data base engine such as ORACLE, SYBASE, MS-SQL, Btrieve or Foxpro. It is Year 2000 compliant (Y2K) carries some very unique and technically updated features :

1. EASY TO UNDERSTAND : The system works in the language of the bankers and does not rely on the cumbersome procedure of codes which makes it easy for the bankers to understand who are not computer professionals. the procedures followed are the ones mentioned in the banks manuals and the methods followed by them.

2. CONTEXT SPECIFIC ON-LINE HELP : Help is available from all points specific to that topic. The complete Help is made available with the option to select the topic desired for Help.

3. ACCOUNT SPECIFIC PARAMETERISATION : The system helps you parameterise options as per the type of Account eg. the system allows you to define Charges separately for Cheque Book Issue for Savings and Cash Credit Accounts. The system does not restrain you from opening more than one type of Savings and Cash Credit Accounts and defining parameters separately for each one of them.

Product Description BROAD FEATURES OF BANCMATE

1. ACCOUNTING :

a. DOUBLE ENTRY : The system follows the ever reliable Double Entry system of Accounting. It provides for entry of single entry at a time as followed in the banks. It allows for creation of one side of an entry by a user and allows the second user to pass the second side of the entry. For eg. if a withdrawal is to be made in an Account then the two different Clerks shall post the debit and Credit side independent of each other. The system ensures the balancing of individual entry and balancing of books at the end of the day.

b. ON-LINE TRANSACTION PROCESSING : It is an on-line-transaction-processing system wherein every entry is saved and posted till the final balancing viz., Individual Accounts, Account Heads and Balance Sheet.

c. SINGLE & CONSOLIDATED VOUCHERS : The system allows for creation of single (where one entry settles another entry) or where many entries are settled against a single entry.

2. CUSTOMER SERVICE :

a. SERVICE CHARGES : The bankers can define charges for various options for different Accounts individually.

b. CHEQUE BOOK : The details of the stock received from the Head Office is maintained and all issues are done as per the next available Cheque Book. The procedure cannot be by passed and the next CHEQUE book cannot be issued. The status of each Cheque with regard to used, unused, lost, stopped for each Cheque Book issued to the Account Holder is maintained.

c. PASSBOOK : The complete stock of passbooks received from head Office and how they have been distributed is maintained. In case a Passbook could not be updated and is retained then it shall be mentioned so in the system.

d. STANDING INSTRUCTION : There are different kinds of S.I. that a user can get executed through the system.

e. INTEREST APPLICATION : An elaborate procedure has been designed for Interest Calculation and Posting :

i. FOR SB ACCOUNTS : The interest is automatically applied on a six monthly basis. The system allows (by Branch Manager) to create and applies Interest on overdrafts created.

ii. CC/OD ACCOUNTS : Interest is calculated on daily product basis and can be defined on a Fixed or Variable rates with provision for Penal rate to be applied on whole or excess amounts.

iii. POSITIVE INTEREST : There are cases where the banks pay interest in case of Current Accounts on Credit balance. The system allows for paying of Interest in an Account or for an Account Head.

iv. RECALCULATE INTEREST : In case Interest was computed at a different rate of return, the same can be recalculated for :
· a particular Account Head
· a particular Account in case of CA/CC/OD account types

3. DETAILED COVERAGE FOR BETTER BANKING :

a. ACCOUNT OPEN : The system keeps all details related to an Account in maximum possible detail for usage or as used by the bankers. The form is designed to cover details of a Guardian in case of a Minor Nominee thus, ensuring proper and detailed data maintenance.The system also maintains and updates on an on-line basis the Balances, Products, Cheques and other details of an Account Holder.

b. AUTHORIZED SIGNATORIES : These are persons who are Authorized or allowed by the Account Holders to operate their account on their behalf i.e. they are allowed to make withdrawals from their account. These can be made known at the time of opening of an account or at a later stage. The details of the AS with regard to his Occupation, Signature type, Address and Designations are taken.The Designation of the AS is linked to the Constitution of an account i.e. in case of HUF the designations can be Coparceners, Karta or an AS.

c. MODE OF OPERATION : Mode of Operation is to be specified wherever there are more than one Account Holders (Joint Account) or there are more than one Authorized Signatory in an Account. It has to be specified how they are going to conduct the operation in the Account. there can be multiple mode of operations with amount limits in the account which becomes extremely useful in case of Firms where the Directors signatures carry unlimited powers but those of the Accountant are upto a limit.

d. CHEQUES : The system keeps a detailed track of Cheques with relation to used, stopped, lost, stale and beyond user sanction limits. In case it is beyond the user limits it gets refereed to the Officer and Branch Manager for passing or returning.The Cheques reported as lost, stop can be revoked as per the orders of the Account Holder.

e. EXCEPTIONAL ENTRIES : the system keeps an elaborate system of marking an entry as exceptional. They can be marked exceptional for cases where Minor’s Guardian has been reported dead and hence, the Bank passes or returns an entry. The system not only checks for withdrawal but also for deposits specially in cases of NRI whereby a deposit of over a particular amount is referred to the RBI and hence, is stored a referred and passed entry.

f. FREEZING OF AN ACCOUNT : The operations in an account can be restricted by any agency by passing of an order to its effect. An account can frozen for all withdrawals or it can also be frozen for a fixed amount. The stopping of operations in case of Joint Accounts can be done on behalf of any of the Account Holders.

g. REVOKE FROZEN ACCOUNTS : Accounts which have been partially or fully frozen can be revoked by orders of the same or any other agency. In case of Joint Accounts it can be done only if all Account Holders agree to do so.

h. DORMANT/INOPERATIVE ACCOUNTS : The system maintains the status of an account as Dormant or Inoperative and in case of a transaction being made in the same it warns and posts the entry as refer and pass entries.

i. CREDIT LIMITS : In case of CC/OD accounts the Branch gives the facility (secured and unsecured) to withdraw upto a prescribed limit. The DP is decided upon the kind of CREDIT and the amount of SECURITIES assigned. The system takes the details with regard to the Total Sanctioned Limit and the Limit Renewal date. The drawing power is calculated on the basis of the different Credits assigned to the party and the amount of securities held under them.

j. COLLATERAL SECURITY : The Branch sometimes keeps some Collateral for giving the limit to the Account Holder. The details of such Securities are noted in the system.

k. INTEREST : Interest is usually charged on Debit Balance. However, the system allows you to define and apply Interest on Credit balances of all Accounts or Specific Accounts. The interest is calculated on Daily Product basis and is deducted from the Interest to be charged and the system arrives at a net figure.

· NORMAL ROI : Normal ROI on CC/OD accounts can be applied either on Fixed or Variable basis (slab basis). The amount of interest will be calculated for each calendar month on Daily Product basis and the ROI may vary from day to day.

· PENAL ROI : There are cases where the Account Holder withdraws more than his limits or Drawing Power. In such cases the PROI is applied. The penal rate can be applied on the Whole amount (complete debit amount) or on the Excess withdrawals (Debit amount over Drawing Power) made by him. The PROI can be Fixed or Variable i.e the percentage + the maximum NROI is the Variable PROI. The system allows for varying ROI for different dates.
